Name the reopen reasons
For outsourced support, define separate reasons for reopening: new evidence, a customer response, a missed promise, or an unresolved outcome. Each reason should create a different next action.
Do not reopen a closed record simply because a related topic arrived; link a new case when the original outcome remains complete.
Preserve the prior decision
Keep the original resolution and explain what changed. This lets the next owner distinguish a genuine reversal from a request that was already answered.
If the new evidence changes money, policy, identity, or a promise, route it to the approving owner before replying.
Review false closures
Sample reopened cases for the reason code and handoff quality. Repeated reopenings may indicate a weak completion standard or an overbroad closure rule.
Use the pattern to improve examples, not to pressure staff into keeping unresolved work closed.
