An expiring quote creates a narrow operational problem: the buyer may still be deciding while price, stock, delivery, tax, discount, or approval assumptions are getting older. After expiry, state the record honestly. A message can say that the quoted validity period has ended and that the team can review current terms. Do not attach the expired document as though it were newly issued. If an authorized owner grants an extension, ensure the system and customer-facing document display the same new validity.

Coordinate outreach through one owner. Sales, operations, and automation should not send overlapping reminders. Log channel, sender, time, template or message, response, and next action. Verify the final commercial record

If the decision is to extend, record who approved it, which version and terms it covers, the new expiry, any conditions, and the approval time. If a fresh quote is required, close or supersede the earlier record rather than editing its history. Carry forward only fields the owner confirms remain valid. Recheck approvals affected by new inputs. The resulting audit trail should explain why the second quote exists without forcing someone to compare email attachments.

Handle uncertain saves before retrying. If the quoting platform returns an error after submission, inspect version history and document identifiers. A second click can create two active quotes with different numbers. Escalate when the authoritative system does not reveal whether the first request succeeded.

Measure queue quality through outcomes and controls
